Rules and Conditions

Cancellation Policy

• To cancel a reservation, send an email to coverentals@lakewoodoh.gov or call (216) 529-5061.
• To receive a full refund of all fees and deposits, a reservation must be cancelled no later than two weeks before the scheduled event date.
• If cancelled within two weeks of the scheduled event, only the security deposit will be refunded.
• Refunds are issued by check within 30 days of the rental date and are mailed to the address provided on the reservation.

Decorations

• All decorations must be taken down and removed from the Center.
• Decorating must be done without tape, tacks, nails, or any other method that would cause damage to the structure.
• Anything tied to the structure must be completely removed prior to expiration of the rental time.
• Confetti, glitter, rice, birdseed, and helium filled balloons are not permitted.

Clean-Up

• The renting party is responsible for the set-up, clean up, and return of the equipment and facilities to the condition and arrangement prior to their use.
• Rearrangement of furniture:
  • Dragging tables and/or chairs across the floor is prohibited.
  • Wheel locks must be unlocked to reposition and locked once positioning is complete.
• All tables must be cleared of all items such as table linens, dishes, decorations, etc.
• All trash must be placed in receptacles provided. If any trash such as boxes or other large items will not fit in the receptacles, it must be disposed of in the trash bins located behind the building. Community Center will provide additional trash liners if needed Boxes need to be broken down before being placed in the recycle bins.
• The facility should be kept free of debris and spills, and it is the responsibility of the renter to clean any excess trash, food, or spills on the floor. The security deposit will be withheld to cover the cost of any additional cleaning performed by City of Lakewood staff.
• If the cleanup requirements are not completed in a satisfactory manner, the security deposit will be retained to cover the cost of said clean up, including materials and labor.
• Remember: the rental time must include all the time necessary for set-up and clean up.

Policies and Conditions

• Cove Community Center is a SMOKE FREE FACILITY.
• Parking availability is not guaranteed and might be limited. Cars must be parked in a designated parking spot; they are not permitted on the grass or walking paths.
• Cove Community Center cannot be rented to sell goods or services.
• The applicant/renter and/or organization agrees to hold the City of Lakewood harmless of any and all claims arising from their rental and further agrees to defend and pay any and all costs incurred by the City as a result of any claims against the City arising from the rental and use of City facilities.
• Under no circumstances the applicant/renter and/or organization sublease or allow any other organization or individual to use the facility during the time and on the date for which they have contracted.
• Storage is not available either before or after the event.
• Alcoholic beverages and smoking are prohibited inside and outside of Cove Community Center and City of Lakewood property.
• Bounce Houses are not permitted at Cove Community Center.
• Pets of any kind are not permitted inside or on the grounds of Cove Community Center.
• Fees will not be refunded for reserved time not used. Reserved time should be chosen carefully; after fees are paid, there will be no refunds for decreased reserved or actual use time.

Fees for Cove Community Center Rental

• Security Deposit: $200.00
• The deposit is refundable after your event less any cost for improper clean-up/damages to the facility.
• Security deposits will be refunded by check within 30 days of your rental date and are mailed to the address provided on the reservation.
